Refund and Exchange Policy

To ensure the sustainability of our events and maintain the highest quality, we operate a clear and fair ticket policy. Please read below for important details regarding refunds, exchanges, and cancellations.


Refund Policy

7-Day Cooling-Off Period

If you change your mind within 7 days of making a booking, you are eligible for a full refund.

  • How to request: Notify us within 7 days of your booking.

  • Processing time: Refunds will be issued within 14 days.

Tickets Are Non-Refundable

Once the 7-day cooling-off period has ended, all tickets, accommodation, and travel bookings are non-refundable, unless an event is cancelled, postponed or curtailed. This policy helps ensure the long-term viability of our events, which rely on accurate attendance numbers and planning.


Cancellation or Postponement

If an event is cancelled or postponed, we will offer you:

  • The option to exchange your booking for a future event, OR

  • A full refund.

Refunds or exchanges for cancellations/postponements will be processed within 14 days.


Curtailment

If an event is curtailed (cancelled or postponed after it has started):

  • You will be offered a partial refund based on the portion of the event that did not take place, OR

  • The option to exchange your booking for a future event.

Refunds or exchanges for curtailments will be processed within 14 days.


Serious Illness

If you are unable to attend due to a serious illness, you may be eligible to exchange your booking for a future event.

  • Requirements:

    • Notify us at least 48 hours before the event starts.

    • Provide a valid doctor’s certificate confirming you are unfit to attend. Sent to office@campwildfire.co.uk

  • Important: Exchanges for serious illness are granted at our sole discretion, based on the information provided.

Please note that tickets and other items may only be exchanged once, and any items that have already been exchanged are not eligible for resale on our Marketplace.

Offering an exchange to a future event is not something we are legally required to do as an event organiser. We choose to provide this option as a gesture of goodwill, to support our community where possible.

It’s important to understand that providing an exchange comes at a significant cost to us. As with all ticketed events, once a ticket is sold the income is immediately allocated to covering the costs of that attendee’s place, including venue hire, activity spaces, entertainment, suppliers, staff, and infrastructure. By granting an exchange, we are effectively funding a camper to attend twice on the income from a single ticket.

We offer this because we value our community and want to be as supportive as possible. All we ask in return is that requests are made with kindness and understanding, including providing the correct medical evidence without complaint, as our team is doing their best to help within the limits of what is sustainable.

As we’ve just upgraded to a new booking system, exchange bookings won’t be issued until January 2026. We’re sorry for any inconvenience this causes. Rest assured, our team will carefully note the details of any confirmed exchanges so they can be completed once the system is ready


Pregnancy and Attendance

We are delighted to welcome pregnant people to our events and encourage participation in activities as they feel comfortable. Pregnancy is not considered a reason for a refund or exchange.
